Privacy policy

Lumiq Inc. ("we") sets out below how we handle personal information in TOMO, our AI platform for foreign worker retention ("the Service"), and on the Service's website (tomo.lumiq.co.jp).

This English translation is provided for reference. If it differs from the Japanese version, the Japanese version prevails.

1. Information we handle

The Service is used under contract by registered support organizations, supervising organizations and similar bodies ("customer organizations"). To provide the Service, we handle the following information.

  • Workers (foreign nationals supported by a customer organization): name (including kana and native-script spellings), nationality, language, date of birth, gender, residence status, residence card number and expiry date, address and the location derived from it, date of arrival in Japan and start of employment, host company, LINE user ID, display name and profile image, messages sent and received on LINE (original and translation), consultation records, replies to check-ins, interview records, recordings and transcripts, the condition score assigned by the AI, and consent status
  • Staff of customer organizations: name, email address, phone number, login information, and a record of actions taken in the Service
  • Contacts at host companies: company name, contact name and contact details
  • Customer organizations: organization name, address and billing information (card numbers are handled by the payment service Stripe and are not stored in our database)
  • Website visitors and people who contact us: information entered in the contact form, and browsing data (Google Analytics, Vercel Analytics)

2. Purposes of use

  • Providing the Service (answering workers' consultations, check-ins, preparing and recording interviews, producing the forms required by law, and contacting people in emergencies)
  • Notifying staff of customer organizations and supporting their decisions
  • Building up knowledge for each customer organization and using it for answers within that same organization
  • Billing
  • Investigating problems and improving quality and safety
  • Answering inquiries and providing information about the Service

3. Processing by AI

We use Anthropic's generative AI (Claude) to answer consultations, judge urgency, draft records and translate. We use Google's generative AI (Gemini) to transcribe interview recordings. Consultation content and interview recordings are therefore sent to these companies for processing.

Depending on each customer organization's settings, AI replies are sent only after staff check them. Contacting outside bodies such as hospitals or government offices is always decided by staff.

Information handled by businesses in the United States is subject to US law. The US system for protecting personal information differs from Japan's in some respects.

5. Where data is stored and how it is protected

  • The database is in the Tokyo region.
  • Residence card numbers are stored encrypted.
  • Data is separated by customer organization and cannot be seen by other organizations.
  • Communication is encrypted.

6. Disclosure to third parties

Except where required by law or similar cases, we do not provide personal information to third parties without the person's consent. Sending data to the external services in section 4 is done to provide the Service.

7. Requests for disclosure, correction or deletion

Workers' information is managed by the customer organization that supports them. Please contact your organization's representative first. Your organization's representative also accepts withdrawal of consent to use the Service.

8. Changes

If we change this policy, we will announce it on this page.
